OFFICE MANAGER/EVENTS MANAGER
Major Duties and Responsibilities as Office Manager:
• To provide secretarial and clerical services, to type documents, to maintain files, to handle routine telephone inquiries;
• To support staff use of office equipment and supplies;
• To translate official correspondence into Romanian, English and Russian;
• To create, develop, and maintain an office contacts database;
• To maintain and update the AmCham’s website;
• To schedule and organize and/or assist in activities such as meetings and conferences;
• Other duties to be assigned by the Executive Director and Project Managers.
Major Duties and Responsibilities as Events Manager:
• Pre-event and onsite communication with delegates;
• Relationship-building with key stakeholders;
• Negotiate agreements with outside providers and subcontractors to ensure the lowest cost and the highest quality of services;
• Source venues, recommend and engage catering, acquire supporting technology and coordinate development of materials to execute a quality event;
• Effectively promote events to target audiences and obtain accurate event specification;
• Work closely with the organizations communications staff on sponsorship arrangements;
• Ensure speakers are briefed and prepared to provide effective presentations and materials;
• Develop and execute all necessary follow-up with sub-contractors, sponsors and members;
• Provide post-event analysis, budget recaps and participant feedback and incorporate learning into future plans.
Desired Qualifications / Skills:
• University degree in business, marketing or related field;
• One year or more in comparable experience will be an advantage;
• Clerical / secretarial skills;
• Analytical and creative skills;
• Proven negotiation skills;
• Ability to develop professional relationships in all aspects of the position that result in stable, consistent and reliable and courteous communication when dealing other organizations;
• Ability to problem solve and work independently in a changing and multi-tasking environment with various deadlines;
• Excellent organizational, planning and management skills;
• Proven ability to take direction and input and to develop effective and engaging branded events that will achieve the organizations goals;
• Oral and written fluency in English, Romanian and Russian;
• Advanced knowledge of office equipment: PC, scanner, fax, photocopier;
• Strong computer skills in MS Office (Word, Excel,) database maintenance, graphic design, formatting, and typing.
