We are looking for a Accounting Settlements Coordinator to join our finance & operations team!

About the Role
As a Settlements Coordinator, you play a vital role in ensuring our independent contractors and
drivers are paid accurately and on time. You’ll be the go-to expert for settlement processing,
documentation accuracy, and financial troubleshooting — helping deliver a seamless payment
experience that strengthens our driver relationships and supports our operational success.
In this high-impact position, you’ll collaborate closely with teams across the organization, drive
process improvements, and maintain the consistency and reliability of our settlement workflow.

What You’ll Do
Core Responsibilities
Serve as the primary contact for all settlement-related communication, including
monitoring dedicated email inboxes, phone calls, and texts.
Manage reimbursement requests and ensure timely, accurate processing.
Update and maintain payee information in McLeod based on executed DocuSign
documentation.
Set up recurring deductions and one-time charges for new drivers.
Verify that all owner-operator invoices have been posted accurately by Accounts
Payable.
Audit settlements and update notes to ensure precise payout calculations.
Apply first-week deduction adjustments for new drivers.
Download, verify, and post fuel, Love’s, tolls, and IFTA reports.
Review and process referral bonuses.
Maintain and update the Transport Missing Paperwork & Updates report to support prompt billing.
Coordinate with Fleet Managers regarding loads requiring additional documentation.
Reach out to drivers regarding missing BOLs.
Process driver reimbursements with supporting receipts.
Calculate weekly payroll for company drivers (Wednesdays) and LP/OO drivers (Thursdays).
Prepare and distribute the Negative OO Balance report.
Conduct post-settlement follow-ups with new drivers.
Lead the settlements portion of weekly driver orientation via Google Meet.
Key Challenges & Opportunities
Encouraging timely submission of driver paperwork.
Delivering consistent and accurate payroll under tight deadlines.
Implementing and maintaining reporting tools (fuel rebate, IFTA, tolls, etc.).
Streamlining and improving end-to-end settlement processes for greater efficiency.
What Success Looks Like (KPIs)
Accuracy of Settlements – minimal corrections or discrepancies.
Turnaround Time – timely processing of weekly payroll cycles.
Discrepancy Resolution – fast and effective handling of driver questions or issues.
What You Bring
Education
High school diploma or equivalent required.
Associate degree preferred.
Prior experience in the transportation industry is required.
Skills & Qualifications
Strong attention to detail and a commitment to accuracy.
Fast learner with motivation to grow within the company.
Ability to work both independently and collaboratively.
Strong mathematical and analytical skills.
Proven ability to identify discrepancies and resolve issues quickly.
Excellent communication and organization skills.
Work Schedule:
Monday to Friday — 15:00 to 00:00 (Moldova time)
(American schedule, perfect for productive evening work.)
