The Moldovan Wine Guild is an association of most progressive and quality driven producers from Moldova. The members of the association are such wineries as – “Acorex Wine Holding”, “Vinaria-Bostavan”, “Chateau Vartely”, “Dionysos-Mereni”, “Lion-Gri”, “DK-Intertrade” and “Vinaria-Purcari”. The primary objective of the Moldovan Wine Guild is to consolidate the efforts of wineries to promote high quality wines and raise the profile of Moldova as a wine producing country on the international market through press, PR, and joint marketing efforts such as trade show participation, generic tasting etc.

The Moldovan Wine Guild is now seeking to recruit an experienced secretary for permanent position - full time. The primary purpose of this position is to perform secretary duties including a wide variety of administrative support activities relating to implementation of the annual working plan. The Secretary must be proficient in Microsoft Office 2000 to perform a wide variety of support duties including typing general correspondence, reports and performing data entry functions. Routine duties with moderate supervision following established procedures and deadlines will be performed. The Secretary must use tact and judgment, and preserve confidentiality of sensitive information.

Description of duties
The incumbent will work under the direct supervision of Executive director and provide with secretarial service below:
1. Processing of communications:
- Maintains incoming and outgoing documents and correspondence;
- Assists in the preparation and editing of documents for presentation at meetings, conferences and for publication;
- Draft routine correspondence, responses and take follow-up action as required;
- Receives telephone calls and visitors dealing with queries and dates for appointments;
- Conducts informal translation and interpretation, if required;
- Reviews outgoing correspondence and documents for correctness of English and in conformity with international standards, practices and procedures;
- Responds courteously to inquiries, provides information with scope of responsibility, and refers calls as appropriate.
2. Other duties as per the request of the office.
- Assists with special mailings, receives and distributes/forwards, etc.
- Fills order forms, informational materials and office supplies.
- Make travel arrangements
- Assist in the compilation of documents such as status reports, progress and evaluation reports and other reports as required by the Executive director
- Copies materials upon request.
- Types correspondence and reports upon request, prepare written translation.
- Arrange appointments and maintain the Executive director calendar, phone calls and organize meetings as necessary
- Provides technical support for Guild members as required
3. Assists in arranging meetings:
- Provide administrative and logistical support for meetings, seminars and/or workshops including preparation and distribution of documents, correspondence with participants and follow-up actions, registration of participants, taking notes preparation of in-session documents, etc. Prepares background material pertaining to the Guild Board meetings, and files the mission reports and related documents;
- May be required to travel to support Conference/Convention registration and other activities.
- Performs other duties as required.
Requirements:
• Secondary school or higher education.
• Minimum of two years’ experience as a secretary involving frequent public contact, preferably in international organizations. Experience in working with technical cooperation projects would be an advantage.
• Possesses verifiable experience using Microsoft Office 2000.-MS Word, Excel, Power Point and Internet Explorer.
• Broad knowledge of general office skills and equipment as evidenced by a combination of course work and/or experience.
• Strong written and oral communication skills.
• Fluency in Romanian, Russian and English is a must. Knowledge of any other European language will be a plus
• Ability to work effectively with co-workers, members of the association, and the public.
• Ability to communicate effectively, handling situations from routine to emergencies, calmly and efficiently.
• Ability to maintain strict confidentiality.
• Responsible, reliable, and ability to work with moderate supervision.
• Basic knowledge about Moldovan wine industry will be an advantage
