Fuel Department Manager (remote)

Objective:
We are seeking a highly motivated and process-oriented Fuel Department Manager to support and scale our Fuel Card Department operations. This individual will act as the right hand to the Operational Manager, overseeing sales support, onboarding, credit risk, vendor coordination, collections, reporting, and overall department efficiency.
Schedule: 16:00 - 01:00
Key Responsibilities
- Manage client onboarding, explaining card features, savings, and setup process
- Follow up on unpaid invoices and missing deposits, ensuring timely collections
- Maintain and update dashboards, Google Sheets, and CRM with accurate weekly data
- Track customer activity, gallons usage, vendor rebates, and revenue metrics
- Coordinate with key fuel card vendors (CPS/WEX, Compass, QuickQ)
- Support the sales pipeline through lead follow-up, agreement tracking, and reminders
- Prepare weekly reports including performance insights and collection updates
- Handle client complaints and escalations proactively
- Collaborate with internal stakeholders to improve SOPs, checklists, and automation systems
Required Skills
- Strong verbal and written communication skills in English and Russian
- Experience in logistics, fuel cards, or financial/credit services preferred
- Proficiency in Google Sheets, CRM platforms, and dashboard tools
- Confidential, trustworthy, and capable of handling sensitive data
- Excellent project coordination and task management abilities
- Business, sales, or marketing certification or degree is a plus
- Experience managing social media platforms is an advantage
- Highly organized and detail-oriented with strong follow-up discipline
- Proactive mindset with a strategic approach to process improvement
- Ability to manage multiple priorities in a fast-paced, remote environment
