Facilities Assistant (Office Manager)

Responsibilities:
- Warm Welcome: Greet visitors warmly, whether in person, over the phone, or via email, ensuring they feel valued and attended to from the moment they arrive.
- Efficient Communication: Answer phones promptly and manage the flow of visitors, directing inquiries to the appropriate departments and ensuring timely responses to messages.
- Organized Records: Maintain organized files and records using effective filing systems, ensuring easy retrieval of information when needed.
- Administrative Support: Assist various teams with administrative tasks, including redirecting calls, disseminating correspondence, and scheduling meetings to enhance overall efficiency.
- Facilities Coordination: Take charge of facilities coordination, including managing workspace arrangements, training rooms, and meeting organization. Monitor stock levels of office supplies, water, coffee, etc., and initiate orders as necessary.
- Onboarding/Offboarding: Manage the onboarding and departure process of employees, providing new hires with essential information and assisting with access grants and revocations.
- Maintenance Coordination: Coordinate all maintenance services and repairs for premises and equipment, liaising with external agencies and suppliers to ensure timely resolutions.
- Mobile Telephony Management: Handle requests for mobile telephony subscriptions, activations, deactivations, and upgrades as directed by management.
- Document Handling: Manage document registration and shipment through postal services, ensuring accurate and timely delivery.
Requirements:
- Good communication skills Romanian and English, both verbal and written.
- Strong organizational abilities with keen attention to detail.
- Proficiency in MS Office suite (Word, Excel, Outlook).
- Previous experience in reception or administrative roles preferred.
- Ability to multitask and prioritize tasks effectively.
- Customer-oriented approach with a friendly and professional demeanor.
- Availability for a full onsite role.
