Job Description:
• Assistance for daily activities to the management team and provide support to the good functioning of the company’s administration;
• Coordinate and provide support to the administrative assistants of the company’s branches (including internal distribution of phone calls and ensuring back-up function);
• Organization of regular meetings (including with office managers of the company’s branches and 3rd parties), interviews, client visits, trainings/workshops, and other events;
• Document management - drafting, editing and sending out office correspondence, archiving;
• Travel arrangements (flight tickets, travel insurance, hotel booking, airport/hotel transfer;
• Supplying management (procurement coordinators) for:
- Office facilities management,
- Events organizing support (internal & external);
• Performs any ad-hoc task as requested by senior management team.
To succeed in this role you will have or be proficient in the following:
• Must be tactful, diplomatic and possess the ability to communicate with individuals at all levels of an organization;
• People and detail oriented, flexible and mindful of company resources;
• Very well organized and good time manager;
• Remains calm, can multitask and demonstrates willingness to help and assist colleagues/clients
• Romanian, Russian – fluent; and English language at B2;
• Customer and service oriented approach in dealing with peers and suppliers;
• Proficient user of Microsoft Office;
• Excellent etiquette and previous experience in a similar role will be considered an advantage.
