In the context of the company's ongoing development, the selected candidate will be responsible for coordinating heavy haul shipments, a task requiring a high degree of precision, professionalism, and operational efficiency.


Objective:
The Heavy Haul Dispatcher's key objective within the US freight forwarding sector is the precise, compliant, and efficient coordination of oversized and specialized freight. This is achieved by optimizing routes for challenging loads while adhering to all regulations, managing permits, effectively deploying specialized equipment and certified drivers, and maintaining clear, proactive communication with all involved parties—drivers, customers, regulatory bodies, escort services, and internal teams—to guarantee timely, safe, and cost-efficient project completion.


Key Responsibilities:
- Source and secure profitable RGN and heavy haul shipments (oversize/overweight) via load boards, brokers, and industry contacts.
- Negotiate optimal rates and terms with brokers/customers to maximize profitability and build lasting relationships.
- Plan efficient, safe, and compliant routes for heavy haul/oversize loads, considering all restrictions, regulations, and delivery deadlines.
- Secure and manage all necessary state/local permits for heavy/oversize loads, ensuring complete route compliance.
- Assign heavy haul shipments to suitable drivers and RGN/specialized equipment, considering HOS, experience, and load specifications.
- Coordinate all heavy haul logistics, including required escorts, pilot cars, and other third-party services.
- Optimize driver schedules and routes for maximum efficiency, minimizing delays and empty miles.
- Provide drivers with clear, detailed load instructions, route guidance, real-time updates, and proactive in-transit support.
- Actively monitor shipments from dispatch through delivery, ensuring compliance with DOT/FMCSA regulations, customer requirements, and safety protocols.
- Promptly and professionally identify and resolve logistical challenges, unexpected delays, or last-minute changes to minimize disruptions.
- Manage customer inquiries, provide shipment status updates, and deliver exceptional service regarding all heavy haul logistics.
- Cultivate and maintain strong professional relationships with brokers, drivers, customers, and internal teams.
- Ensure accurate and timely completion, collection, processing, and filing of all heavy haul shipment documentation (e.g., permits, BOLs, PODs).
- Collaborate with accounting to ensure accurate load information for billing and record-keeping.
- Uphold adherence to all safety regulations, including HOS and specific heavy haul transport rules, for all dispatch and driver operations.

Skills and Qualifications:
- Experience: Minimum of 1 year as a dispatcher in the US trucking industry, with a strong preference for direct RGN or heavy haul dispatch experience.
- Regulatory Knowledge: Solid understanding of US oversize/overweight regulations, state-specific permitting processes, and intricate heavy haul route planning. Comprehensive knowledge of DOT and FMCSA regulations pertaining to heavy haul operations.
- Technical Proficiency: Familiarity with dispatch software and major load boards (e.g., DAT, Truckstop). Proficient in Microsoft Office Suite and Google Workspace tools.
- Communication & Negotiation: Excellent negotiation, interpersonal, and communication skills (both written and verbal), with English proficiency (at least B1 level or equivalent) for clear and effective interaction with all stakeholders.
- Organizational Abilities: Strong organizational, multitasking, and time-management skills, with a proven ability to prioritize tasks effectively in a fast-paced environment.
- Problem-Solving & Mindset: Detail-oriented and solution-focused mindset, demonstrating the ability to remain calm, think critically, and make effective decisions under pressure.
