Moldovan Office Manager/Local Project Officer
KMOP-Family and Childcare Centre (Greece) is leading a Consortium of international and Moldovan Organisations for the implementation of a new Service Contract project in Moldova funded by the European Commission (EuropeAid) in the field of Civil Society Development, and is currently seeking to recruit a Moldovan Office Manager/Local Project Officer who will be based in Chisinau (Moldova) and who will work in the project.
JOB DESCRIPTION
The Office Manager/Local Project Officer will work during the period September 2017-September 2020 and he/she will be responsible for the following tasks:
Administration and reporting
• Organising project staff meetings with the EC Delegation
• Acting as a Secretary for the staff meetings (face to face and online)
• Answering telephone and email queries, recording and redirecting queries to other staff members
• Maintaining secretariat mail
• Preparation of Administrative Reports
• Support in the drafting reports to the European Commission, in cooperation with other staff members
• Collating supporting documents required for reporting to the European Commission
• Ensuring that reports to the European Commission meet all the requirements and are submitted on time
• Maintaining staff records and project-related paperwork
• Filing and archiving of financial documents, in line with the legal and project requirements
Financial management
• Day to day accounting and file keeping
• Overseeing project budgets
• Producing financial reports for the Project Manager
• Submitting verification/validation of expenditure to the Project Manager
• Preparing documents for the audit
• Ensuring that the project finances are kept in order and that they meet the required requirements
Events coordination
• Coordinating logistics (booking tickets, meeting rooms, organizing catering and access) for events and meetings organized
QUALIFICATIONS AND SKILLS
The requested candidate will need to have the following minimum qualifications and skills:
• University Degree
• Previous work experience in managing EU funded projects (preferably large-scale service contracts)
• Good knowledge of the EU PRAG and EU Project Life Cycle
• Excellent knowledge of English and Moldovan Languages
• Good communication and teamwork skills
